One system for customers, orders, stock and your team

Workspace brings together in one place what is currently scattered across inboxes, spreadsheets and several programs: enquiries, quotes, orders, stock levels, documents and your team’s tasks. You start with one area and add more without switching systems.

What your team gains

Every enquiry has an owner

Enquiries by email, form or chat become cases with a clear owner. Whoever stands in sees at once what it is about.

The right price for every customer

Quotes are created with this customer’s prices, without searching through emails and lists.

One stock level for everyone

Sales, purchasing and warehouse work in the same system and see the same stock.

Knowledge stays in the team

Instructions live in the wiki, processes are defined in Workspace. So work carries on even when a colleague is on holiday.

What Workspace covers

Customers and sales

Enquiries, leads, sales opportunities and quotes in one place, with a list of the contacts that are up next.

View sales and customers

Orders and documents

Order confirmation, delivery note, invoice and return are all created from the same order. You can also issue invoices as XRechnung.

View orders and documents

Purchasing and warehouse

Purchase orders to suppliers at their prices, goods receipt, storage locations, stocktaking and picking with the scanner.

View purchasing and warehouse

Online shop and product data

Maintain products with variants, approve them and sell them in your own shop to business and private customers.

Customer service

Every enquiry becomes a case with a clear owner. Add to that a chat on your website and reply drafts prepared by AI.

Time and holidays

Your team clocks in in the browser or with the schukai Time Tracking app. Team leads approve holiday requests, and balances and holiday allowances are always up to date.

Processes and reports

You define steps and approvals in a graphical process. Key figures lead straight to the related cases.

View processes and reports

From enquiry to invoice

Step 01

An enquiry arrives by email, form or chat and becomes a lead.

Step 02

The lead becomes a quote with this customer’s prices.

Step 03

If the customer accepts, it becomes an order. The warehouse picks it and the parcel goes out with DHL or DPD.

Step 04

The invoice is created from the order, as XRechnung if required.

Start small without switching later

Just the online shop

Shopcloud is the edition tailored to running a shop. We or your agency set it up. If you later use more of the system, there is no need to switch.

Just working hours

Your staff record arrival, breaks and departure with the schukai Time Tracking app. You manage target hours, holidays and balances in Workspace.

The whole system on your servers

Software and data stay in house: one program, one database, updates with tested recovery.

Define processes and prove them

You define in a graphical process which steps an order goes through and who approves what. The price that applied in June is still on the document later: prices and tax rates are stored unalterably with every case.

AI with a choice of model and budget

Workspace can prepare product information, summarise customer enquiries and suggest next steps. Your team reviews the results and decides what to adopt.

For each task you decide which model does the work – including a model running on your own server. Then product texts, customer enquiries and documents go to no external provider. You also set a budget per period. Before every request, Workspace checks whether it is sufficient. If it is not, Workspace only uses another route you have allowed; if there is none, no suggestion is produced.

Workspace customer service answers recurring delivery questions and approved product questions. After verifying identity and authorisation, it can send existing invoices. If information is missing or a decision is needed, your team takes over.

Security and operations

Roles and permissions

Every employee sees and changes only what belongs to their job.

Secure sign-in

Your team signs in with a second factor. New colleagues join by invitation, not through shared accounts.

Multiple companies

Manage several companies as separate tenants and switch between them.

Cloud or server

If we run Workspace for you, your data is stored in data centres in Europe. With self-hosting, it stays on your servers, with the same range of features.

Updates with backup

Before an update, a backup is made and recovery is tested.

Connect existing systems

Should your merchandise management, accounting or business application exchange data with Workspace? We set this up as a separate project. Together we decide which system holds the master data and how you spot transfer errors.

Implementation by us

Step 01

In a conversation we clarify which process should run in Workspace first.

Step 02

In a demo we show it to you with sample data.

Step 03

We set up the area and migrate the agreed data.

Step 04

Your team starts with this area. More are added when you are ready.

Frequently asked questions

Can I start with one area?

Yes. You can start with the online shop, sales or the warehouse, for example, and add further areas in the same system.

How does Workspace work with my accounting?

Invoices and documents are created in Workspace; bookkeeping continues with your tax adviser or in your accounting software. We set up the connection for you.

Does Workspace support e-invoices?

You issue outgoing invoices as XRechnung. Workspace checks incoming e-invoices in XML format. Workspace does not currently support ZUGFeRD.

How does my data get in?

During implementation we migrate the agreed data, such as customers, products and prices, from files or from your previous system.

Does Workspace run in the cloud or on my own servers?

Both, with the same range of features.

Where is my data stored?

If we run Workspace, in data centres in Europe. With self-hosting, on your own servers.

How do I keep AI costs under control?

For each task you set the permitted models and a budget per period. Before every request, Workspace checks whether the budget is sufficient and never exceeds it.

Who implements Workspace?

We do, as the manufacturer. You do not need an additional partner.

What does Workspace cost?

We give you the price in a quote, because it depends on the scope, such as the areas used and storage. We will publish fixed prices as soon as they are set.

Which process should become simpler first?

Tell us about a process that costs time today: an enquiry left sitting in the inbox, or prices someone looks up in spreadsheets. In a demo we show you how it runs in one place in Workspace, and you receive a quote.
