Accounting and exports

In Workspace, documents, postings and open items come together in one general ledger. Every posting leads back to its document, every document to its case. For your tax adviser, Workspace prepares DATEV and GoBD exports with a checksum.

What your accounting gains

Postings from the case

Outgoing invoices, goods receipts, incoming invoices, goods issues and returns generate postings according to your posting profile. If a setting is missing, Workspace tells you which one.

Documents that stay

The original file, XML and PDF view are stored in the document archive with a checksum. A new version is added; the original is kept.

Open items at a glance

Invoices create open items for receivables and payables. Workspace suggests matching bank transactions; a confirmed match becomes a payment posting.

Exports with a fingerprint

Every DATEV and GoBD run carries its period, counters and checksum. The run records the export profile and account mapping; later changes leave it untouched.

From document to export

Step 01

You agree the chart of accounts, tax codes and posting profile with your tax adviser. For getting started in Germany, there is a template based on SKR04.

Step 02

From a start date you define, Workspace can post finalised outgoing invoices automatically if you wish. Postings from goods receipt, incoming invoice, goods issue and return are added.

Step 03

Your team reconciles bank transactions with the open items. Workspace suggests matches; confirmed matches become payment postings.

Step 04

You start the DATEV or GoBD export for the period. After checking the filing and checksum, you approve the run and download the file.

Auditable down to the posting line

Corrections as reversing entries

Posted lines stay as they are. Corrections and cancellations are created as separate reversing entries.

Totals and balances

The trial balance shows debit, credit and balance for each account. From there, you jump to the posting lines and on to the document.

Separate export accounts

Export profiles keep external account numbers separate from your own chart of accounts, each mapping with a validity period. If a mapping is missing, Workspace stops the export.

Closing in fixed steps

Period-end and year-end closing follow fixed steps, with their own closing and opening entries.

Legacy documents with a second look

You add suitable invoices from before the start date through a separate review. A second person approves them.

Traceable VAT

You can trace values in the tax report back to the individual posting line, the account and the document. Workspace prepares the advance VAT return as a handover for your tax adviser.

Keeping track

The accounting overview counts open documents, overdue open items split into receivables and payables, new bank transactions and open matching suggestions. Next to them are failed DATEV and GoBD runs and the latest export times. A work queue leads directly to the tasks behind them.

You receive the DATEV export as a file in EXTF format, and the GoBD audit export as JSON or as a ZIP with CSV files and index.xml. We coordinate the first import together with your tax adviser.

Frequently asked questions

Which export formats are available?

DATEV in EXTF format, the GoBD audit export as JSON or as a ZIP with CSV files and index.xml, and a handover file for the advance VAT return. Every run carries a checksum.

Does Workspace replace our tax adviser?

No. Workspace organises documents, postings and open items and prepares exports. You continue to resolve tax questions, financial statements and filings with the tax office together with your tax adviser.

Which chart of accounts can I use?

Your own. For getting started in Germany, there is a template based on SKR04, which you review and adapt with your tax adviser.

Are older invoices carried over?

Invoices from the start date you define are posted automatically. You add suitable older invoices through a separate review that a second person approves.

What does it cost?

We give you the price in an offer, because it depends on the scope of your project.
