Order at the agreed price, every time

Your purchasing team sees at a glance what has been agreed with the supplier: price, quantity break, minimum quantity and lead time. Workspace enters the price in the purchase order and records where it comes from. If a price exceeds your tolerance, your team checks it before the order goes out. That way, you pay what was agreed, and your margin is calculated with real purchase prices.

What your purchasing team gains

Prices with their source

Workspace enters the price from the price list or the last purchase order. Every line item shows where it comes from and since when it has applied.

Ordering in the supplier’s language

The purchase order document is created from the order, with the supplier item number and manufacturer part number on every line item.

Quantity breaks visible to everyone

Quantity breaks, minimum quantities, order multiples and lead times are kept in the price list for each supplier. You plan new terms in advance with a validity date.

Margins with real prices

With the goods receipt, the purchase price flows into stock value and cost of goods. If the supplier changes its price later, past margins remain correct.

How you order with Workspace

Step 01

You maintain a price list for each supplier with prices, quantity breaks, minimum quantities and lead times, time-limited if required and in the supplier’s currency.

Step 02

Your buyer enters the line items. Workspace enters the price from the price list or the last purchase order and saves where it comes from.

Step 03

If a price deviates more than defined, your team approves it. Only then is the order placed.

Step 04

The purchase order document is created from the order and goes to the supplier. When the goods arrive, goods receipt starts directly from the purchase order.

What Workspace handles for you in purchasing

Price lists per supplier

For each variant, you record price, quantity breaks, minimum quantity, order multiple and lead time. With “Valid from” and “Valid until”, you plan new terms in advance.

Price checks with your tolerance

You define the deviation at which a check is triggered. Workspace compares against the contract price or the price last paid and holds the purchase order until it is approved.

Several price lists, one choice

If you have several valid price lists for a supplier, you define which one takes precedence.

Works together with

Your team checks quantity and condition against the purchase order and books only when everything is correct.

Frequently asked questions

Can I map quantity break prices and time-limited terms?

Yes. Every price entry carries quantity breaks from a minimum quantity. With a validity period, you store new terms before they take effect.

What happens if a price deviates from the agreement?

Workspace compares it with the contract price or the price last paid. If the deviation exceeds your tolerance, your team deliberately approves the purchase order before it goes out.

Can we also purchase in foreign currencies?

Yes. Every supplier price list has its own currency, and you maintain the prices exactly as your supplier quotes them.

How do our suppliers and prices get into the system?

During implementation, we transfer suppliers and price lists together with you. After that, your purchasing team maintains new terms itself.

What does Workspace cost?

We give you the price in an offer, because it depends on the scope, such as the areas used and the storage.
