Workspace in the cloud or on your server

Workspace runs with us or with you, with the same software and the same features. Which route suits you depends on who should look after the servers, database and updates.

Two routes, one set of features

It is the same software. You only decide who runs it.

Run by us

We run the servers, database and Workspace for you and install the updates. Your data is held in data centres in Europe. Your team manages users, roles, content and settings.

On your servers

Your IT runs Workspace in your own data centre. Software and data stay in-house, and you decide when a new release is installed.

Who takes care of what

Servers and database

In the cloud, we run them; when you run it yourself, your IT does.

Updates

In the cloud, we install them. When you run it yourself, your IT decides on the timing; on request, we take care of it.

Users, roles and content

In both cases, your team manages them itself.

Incidents

In the cloud, you report them to us with the time and the affected process. When you run it yourself, your IT takes care of them, and we provide support as agreed.

Features

The same, because it is the same software.

Choosing the right route

When each route is the right fit

The cloud is right for you if you have no operations team of your own, want to get started quickly and would rather not install updates yourself.

Your own server is right for you if you have particular requirements for infrastructure and operations or need full control over servers, database and network.

Your own server: what we deliver, what you are responsible for

We deliver the software as a signed release, the installation methods for your environment and the instructions for setup, backup and updating. As the manufacturer, we can develop missing features in the product.

You are responsible for the servers, operating system and network. You decide when a new release is installed. On request, we also take over operation and maintenance in your environment. In that case, we agree which tasks are included.

What your IT needs to set up

One program and one database

The installation consists of the server program and a PostgreSQL database. No additional cache, search service or messaging service is required. Product search runs in the database.

Signed releases

Every version comes with checksums and a proof of authenticity. Your IT can verify that it is installing exactly the version we published.

Updates with a restore test

Before switching over, the update creates a backup, restores it as a test and checks the target version in read-only mode. Only then does it switch over.

Licence without permanent online checks

The licence is imported as a signed file. Operation does not require a permanent internet connection for this.

A language model on your own premises

You decide which model handles which task – including a model running on your own server. Product texts, customer enquiries and documents then never leave your network.

How an update works

Step 01

Your IT checks the new release using the checksums and the proof of authenticity.

Step 02

The update creates a backup and restores it as a test.

Step 03

It checks the target version in read-only mode.

Step 04

Only then does it switch over to the same verified version.

If any of these steps fails, your current version stays in operation.

What we agree together beforehand

Before the contract, we clarify which environments you run, who checks backups, how you report incidents and what support you expect. If you use your own extensions, we also agree who adapts them to new releases.

For your procurement, we compile the technical documentation you need.

Questions that come up before the decision

Do I have to install updates myself in the cloud?

No. We provide them and install them.

Where is my data stored?

In the cloud, in data centres in Europe; when you run it yourself, on your servers.

Can we switch from the cloud to our own servers later?

Yes. We plan the switch with you early on, so that data, operations and schedule are settled.

Do we need an internet connection when we run it ourselves?

Not for day-to-day operation or the licence check. It is needed for downloading new releases and for support from us.

How do we renew the licence?

Renewing means importing a new licence file. The available terms are set out in the respective offer.

Are there fewer features when we run it ourselves?

No. It is the same software.

What does operation cost?

We quote the price in an offer, because it depends on the scope, such as storage and the chosen route. We will publish fixed prices as soon as they are set.

Which route suits you?

Tell us who looks after your servers today and what requirements your IT or procurement team sets. We will recommend a route and send you an offer.
