Knowledge management boards

Use boards to make a short workflow visible. A board can track a sales campaign, a product price review, or an internal project.

Create a board

  1. Open Knowledge management > Boards.
  2. Select Create.
  3. Enter a clear name.
  4. Open the new board from the list.

Workspace creates the lanes To do, In progress, and Done. Rename, move, recolor, collapse, or delete them when your workflow needs different steps. Drag a lane by the handle in its header to move it to a new position.

Open a lane's action menu with the hamburger icon. It groups collapse, color, rename, and delete actions using the same interaction pattern as comments. Select Add lane or Rename lane, enter the name in the compact action popover, and confirm the change. A collapsed lane replaces the menu with one expand action so the narrow view remains free of overflowing action popovers.

Work with cards

Select Create card next to the page headline, enter the title in the compact action popover, and confirm the action. The new card always appears in the first lane. Open the card to add a note or business references.

Drag a card directly by its surface with a mouse. On a touch device, use the card handle so you can continue to scroll the board normally. The insertion marker shows the exact target before you drop the card.

Keyboard users move cards and lanes with the same drag-and-drop model. Focus the corresponding handle and press Space. Use the arrow keys to select the position, then press Enter or Space to drop the item. Press Esc to cancel. If another person changes the board at the same time, Workspace reloads the current state instead of silently overwriting changes.

The board name remains fixed in the page headline. Back to boards is a separate navigation link below it. Favorite, lane creation, and fullscreen actions sit with Create card next to the headline or directly below it on narrow screens.

Select Fullscreen to open the workspace in browser fullscreen, matching the wiki. Press Esc to leave fullscreen or close an open card.

A card can reference companies, people, leads, opportunities, quotes, orders, product families, and product variants.

  1. Open the card.
  2. Select the business record type.
  3. Search for the record.
  4. Select the result and save the card.

The reference opens the selected record. It never grants additional access. If you can no longer read the target or it no longer exists, the board shows Unavailable without exposing target details.

Add relevant boards as favorites

Select Add favorite to show a frequently used board below Knowledge management > Boards. The favorite is personal. Select Remove favorite to remove it from this navigation area. Archived boards and boards you can no longer read disappear automatically.

Control access

Boards use three roles:

A new board is private. Use the Access tab on its detail page to share it with selected people or groups.

Limits

Boards are lightweight work surfaces. They do not add assignees, due dates, comments, automation, or time tracking. Use tasks and workflows for controlled execution, wikis for durable knowledge, and whiteboards for free-form visual work.
